This Privacy Policy explains how MoxFlow collects, uses, stores, discloses, and protects personal information when people use the MoxFlow website, MoxFlow Studio, website embeds, account and billing tools, Saved Builds, Leads, Quotes, Analytics, Genesis Hub, support systems, contact forms, and related services.
“MoxFlow,” “we,” “us,” and “our” refer to Moxflow LLC.
1. Scope
This Policy applies to personal information processed through MoxFlow-controlled websites and applications, account registration and authentication, billing and plan administration, public contact and access-request forms, support communications, analytics, website embeds, and the operation of MoxFlow features.
It does not replace the privacy policies of independent automotive shops or other businesses that use MoxFlow. A shop using a MoxFlow embed or collecting leads through MoxFlow may have its own privacy obligations and may use submitted information for its own business purposes.
2. Our Role and the Shop’s Role
For account information, billing information, direct communications with MoxFlow, product analytics, security data, and visitors to MoxFlow-controlled websites, MoxFlow generally determines why and how that information is processed and acts as the responsible business or controller where those concepts apply.
When a shop uses MoxFlow to collect or manage its own customer leads, builds, quote requests, contact details, notes, and related customer information, the shop generally determines the purpose of that processing. In that context, MoxFlow generally processes the information to provide the Service on the shop’s behalf, subject to applicable law and our agreements.
Shops are responsible for their own privacy notices, consent, marketing permissions, customer communications, retention decisions, and other obligations relating to their customers.
3. Information We Collect
Depending on how MoxFlow is used, we may collect:
- Account and business information: name, email address, shop or company name, website, role, account identifiers, plan, access level, account settings, and authentication information.
- Billing and transaction information: subscription status, plan, payment status, transaction identifiers, invoices, billing contact details, and related records. Payment card details are generally processed by our payment and billing providers rather than stored directly by MoxFlow.
- Customer and lead information: names, emails, phone numbers or other contact details when provided, vehicle/build information, requested services, quote details, notes, messages, and information submitted through MoxFlow-powered forms or embeds.
- Build and product-use information: selected vehicles, visual configurations, wraps, colors, graphics, decals, rims, tint, stance, Saved Builds, quote activity, lead activity, embed activity, feature use, and other interactions with MoxFlow.
- Support and communication information: contact-form submissions, support requests, feature requests, survey or poll responses, emails, and other communications.
- Technical and analytics information: IP-derived information, browser and device information, operating system, page URLs, referring pages, approximate location derived from network information where available, session identifiers, timestamps, clicks, scroll activity, performance data, error data, and security events.
- Cookies and local storage: authentication state, preferences, analytics identifiers, attribution information, and other information stored in cookies, local storage, session storage, or similar technologies.
We may also receive information from service providers, payment processors, authentication providers, business customers, referrals, integrations, and other sources when permitted by law.
4. How We Use Information
We use information as reasonably necessary to:
- Provide, operate, personalize, maintain, and improve MoxFlow.
- Create and secure accounts, authenticate users, and manage access levels.
- Process plans, billing, payments, renewals, refunds, and account changes.
- Store and deliver builds, leads, quote requests, embeds, analytics, and related features.
- Provide support, answer contact requests, communicate about the Service, and send transactional messages.
- Send product, Early Access, or marketing communications where permitted and provide unsubscribe options where required.
- Measure product usage, acquisition, conversions, performance, and feature engagement.
- Detect, prevent, investigate, and respond to fraud, abuse, security incidents, unauthorized access, and violations of our Terms.
- Comply with legal obligations, enforce agreements, establish or defend legal claims, and protect MoxFlow, users, customers, and third parties.
- Evaluate, restructure, finance, sell, merge, transfer, or otherwise conduct a business transaction involving MoxFlow or its assets.
5. Legal Bases Where Required
Where a law requires a legal basis for processing, we may rely on performance of a contract, steps requested before entering a contract, legitimate business interests, consent, compliance with legal obligations, and protection of legal rights or vital interests, depending on the context.
Where we rely on consent, you may withdraw it as permitted by law. Withdrawal does not affect processing that was lawful before withdrawal.
8. International Processing and Transfers
MoxFlow and its service providers may process and store information in Canada, the United States, and other countries where we or our providers operate. Those countries may have privacy laws different from the laws where you live.
Where required, we use contractual, organizational, technical, or other lawful safeguards for international transfers. Information may also be accessible to courts, law enforcement, regulators, or national-security authorities under laws applicable in the country where it is processed.
9. Data Retention
We retain information for as long as reasonably necessary for the purposes described in this Policy, including providing the Service, maintaining business and transaction records, resolving disputes, preventing fraud and abuse, enforcing agreements, complying with legal obligations, and supporting legitimate business operations.
Retention periods vary by data type, account status, plan, legal requirements, backup cycles, security needs, and the instructions of a business customer. Some information may remain in backups or logs for a limited period after deletion from active systems.
When a shop controls customer information processed through MoxFlow, requests concerning that information may need to be directed to the shop. We may assist the shop as appropriate and required by law.
10. Security
We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, and disclosure. Measures may include access controls, authentication, encryption in transit, managed infrastructure, role-based restrictions, logging, and security monitoring.
No internet service, database, transmission method, or storage system can be guaranteed to be completely secure. You are responsible for protecting your credentials, devices, account access, and any information you export from MoxFlow.
11. Communications and Marketing Choices
We may send transactional and service communications that are necessary to operate an account, such as security, billing, account, plan, support, or important product notices.
Where permitted, we may also send product updates, Early Access communications, educational content, or marketing messages. You may unsubscribe from marketing communications using the unsubscribe mechanism provided or by contacting us, subject to any communications we are legally permitted or required to send.
12. Your Privacy Rights
Depending on your location and applicable law, you may have rights to request access to personal information, correction, deletion, portability, restriction or objection to certain processing, withdrawal of consent, or information about how personal information is used and disclosed.
These rights are not absolute and may be subject to identity verification, legal exceptions, retention requirements, the rights of others, and the role MoxFlow has in the processing. If your information was submitted to a shop through a MoxFlow-powered experience, contacting the shop first may be the fastest way to exercise rights relating to that shop’s customer records.

13. Children
MoxFlow is a business software service and is not directed to children. We do not knowingly solicit account registrations from children who are not legally able to consent to the processing of their information. If you believe a child has provided personal information to MoxFlow inappropriately, contact us so we can review the situation.
14. Business Transfers
If MoxFlow is involved in a merger, acquisition, financing, reorganization, insolvency, sale of assets, or sale of the business, information may be reviewed, disclosed, transferred, or assigned as part of that transaction, subject to applicable law. A successor may continue to process information under this Policy or a replacement policy that complies with applicable law.
15. Changes to This Policy
We may update this Privacy Policy as MoxFlow, our providers, our legal obligations, or our data practices change. We will update the “Last updated” date and provide additional notice of material changes where required by law or reasonably appropriate.
